How to create a GDPR compliant list in Mailchimp

Booking Manager enables you to send Newsletters directly from Booking Manager by integrating it with Mailchimp. MailChimp helps you design email newsletters and track your results. It's like your own personal publishing platform.

If you want to send newsletter to your direct customers you have to make sure that you have their explicit consent according to the GDPR regulation enforced since May 25 2018.

After you signed up to Mailchimp, next step is to setup mailing list in your Mailchimp account. Easiest way is to click on List in the dashboard

Once you enter lists click on Create list (1.) and confirm that you want to Create List (2.).

Once in set up make sure that you fill in all the required fields 

After inserting all the required fields you have to make sure to make the list GDPR compliant by selecting the double opt-in (1.) and enabling GDPR fields (2.) for the the subscription forms.

Once all the fields are selected press Save (3).

When the list is complete there is no need to further do anything on Mailchimp. Now go to Booking manager and open Preferences > User groups. Press New (1.) to open the new user group and write the exact group name (2.) as you used for the name of the list in Mailchimp and press OK (3.).

Now select the group (1.) and check it as Newsletter group (2.) and Close (3.) the window.

The last thing that remains is to click on Add Users (1.) and select the users you want to be in the newsletter list from the popup window (2.) (press and hold CTRL to make multiple selection). Click on Choose (3.) to add them to the newsletter group.

You can also add users to the list by going to  Work > Addressbook, click on the user (1.), select Access rights (2.) tab and then click on Add Group (3.).

NOTE: When you synchronize the list from Booking Manager to Mailchimp,all the changes made in Mailchimp will affect you list in Booking Manager. So if the client unsubscribe it will be automatically removed from the list If you need the client data for legal purposes ( invoices, contracts, crew list etc.) make sure that those contacts are also in your guest list.
