For a quick overview of the Zapier possibility, we will focus currently on three cases:
Case number 1
In this case, we will explain how to create Zap that will automatically copy information about booking to the Google calendar.
The first step is to log in to Zapier and create Trigger Zap. It will be triggered when the reservation is created or updated
Our second step will be adding an Action Zap with an event Find event. In this event, we are setting up the following:
- a Gmail account that will be connected to Zap
- a calendar to which data will be saved
- Event (Find event)
- Search term from MMK Booking, with which we will check if the reservation exists
- an option to Create Google Calendar Event if it doesn’t exist yet with the mandatory data field
Our final step is creating an Action Zap with an update event which will update the record from the second step. In this event, we are setting up the following:
- a Gmail account that will be connected to Zap
- a calendar to which data will be saved
- Event (Update)
- Event number from the previous step
- Data and fields from MMK Booking Manager, which we want to see in Google Calendar
That was the setup of our Zap, how it now looks in real life is as follows:
An Option is created in MMK Booking Manager
And in a few moments, the event in our Google calendar is created with data we picked in the third step
Case number 2
In this case, we will explain how to create Zap that will help us automatically copy user updates from MMK Booking Manager to HubSpot. We will focus on first name, and last name, but the same can be applied to all data.
When username and password are entered on Zapier login you are prompted with Zapier dashboard.
The first step in the creation of Zap is to press Create Zap button (on the left) or to press Create button on the right and select New Zap from the newly opened menu.
Trigger editor opens in which you choose the application and event that will be the trigger for your new Zap.
In the search field enter your app and select it from menu, in our case MMK Booking Manager
And in the next step choose an event that will be the trigger, in our case User Updated
When you have selected the Event press the Continue button
After you click on Continue you will have to choose an account and connect Zapier with MMK Booking Manager, select Connect MMK Booking Manager, and click on the Sign in button
After you clicked on the Sign in button the page appears on which you are prompted to first enter an API key, and click on the Yes, Continue button.
When you click on Yes, Continue, Zapier takes you back to Trigger configuration, and you have your account selected in the account field, press the Continue button
On the next step of Trigger creation, you have to click on the Test trigger button so the Zapier can test if the right account is connected and the trigger fetches data.
If all is set up correctly, Zapier will prompt you with data that has been found through API, in our case, this would be the following user in the next screenshot.
After the trigger sends us a successful response please click on the Continue button
With this, we have completed our first Zap, which is the trigger Zap,
After clicking on Continue in the previous step new Zap opens, this is our Action Zap.
On the Search bar, we search applications on which we want to do some actions, in our case this is HubSpot. After the application is found, click on it.
Then we need to choose an event that will be triggered with this Action Zap. In our case, we will write in the search bar find contact and select Find Content event. Because we want to link data from MMK Booking Manager to HubSpot with a unique data field.
After picking the event and application, we need to press the Continue button
The next step in creating this Action Zap is to Connect HubSpot with the account. If you are not logged in, you will have a button Sign In. In our case, we are already logged into HubSpot, so when we click on Choose an account, the accounts that we are using appear. We will click on The circle to select our account
After we selected the proper account, click on the button Continue.
In the following activities, we will set up a unique property that will serve as a link between the MMK Booking Manager and HubSpot in our case this will be: email.
First, we find the property name on which the search will be made on HubSpot, and we have chosen Contact information: Email.
Secondly, we need to select the value from the MMK Booking Manager with which it will be checked.
Then click on the Enter text or insert data field below First search property value, search mail in the search field and click on the wanted field, in our case Email
When data is entered scroll down and press Continue button
Test action can be skipped it just shows us if the random email from the MMK Booking Manager has been found in HubSpot
Now we need to add another action that will act as an update on the found user on HubSpot.
Click on the "+" sign and find the HubSpot app with search field
When the application is picked, we need to pick Event, we will choose Update Contact by searching update contact in the search field
After picking the event and application, we need to press the Continue button
The next step is to select the account that we have on HubSpot.
After we selected the proper account, click on the button Continue.
In the next step, we will set up for which user this update applies and also set up the fields that will be updated,
First, we will choose Object ID, and click on "Enter text or insert data..." Click on Find Contact in HubSpot and select ID. On this ID changes will be made.
After we entered ID now we have to link MMK Booking Manager data with HubSpot fields. For this case, we have chosen that changed data will be added to First name field in Hubspot, but taken from MMK Booking Manager.
And the same procedure we have used for Last name.
After we linked the necessary data click on the button Continue
After that, we click on the Publish Zap
Which automatically enables our Zap, indicated by the icon on the upper right
That was the setup of our Zap, how it now looks in real life is as follows:
We have a Zap that is active and user in MMK Booking Manager on which we need to make some changes.
We check the data in HubSpot and see that is the same as in MMK Booking Manager
We change the Name and Surname of our user and click on Apply, by doing this we have activated the trigger of our created Zap because we have made an update on users on MMK Booking Application.
After successful Zap we open HubSpot and check our user, and see that the changes were applied.
Case number 3
In this case, we will explain how to create Zap that will send you an SMS when reservation is created or updated in MMK Booking Manager.
The first step is to log in to Zapier and create Trigger Zap. It will be triggered when the reservation is created or updated.
Our second step will be adding an Action Zap with the app Twilio and event Send SMS. In this Zap, we are setting up the following:
1) The application - we choose: Twilio
2) Event that will occur - Send SMS (What will happen)
3) Link Your Twilio account and enter your Account SID and Auth token (found on Twilio account, it is needed to link Zapier with Twilio API)
4) From Number is a field that is a simple drop-down in which you choose your Twilio number
5) To Number is a field in which you write down the telephone number to which SMS will be sent
6) Message is a field in which we add data we want to see in SMS is sent.
That was the setup of our Zap, how it now looks in real life is as follows:
Reservation has been made in MMK Booking Manager and Trigger Zap is activated.
Then Action Zap is activated and SMS is sent to the telephone number.
